Terms and Conditions

Room Booking and Fees

  • Your booking is confirmed when your £50 deposit has been received.
  • FULL BALANCE of PAYMENT is due 14 DAYS PRIOR to your event.
  • Room hire and accessory fees are agreed at the time of booking.
  • Payment plans are available.

The Hire Period

  • The room is only available within the times scheduled on the booking form.  Time for setting up and clearing and tidying the room is agreed at the time of booking and will be charged.  
  • Finish times must be strictly adhered to allow our staff to leave work promptly.

Restrictions for Room Decoration

  • WALLS – STRICTLY NO WHITE/BLUE TACK, PINS/STAPLES or TAPE
  • Do not affix anything to, or hang anything from, any part of the hired room or from any fixture or item of furniture without prior consent.
  • Freestanding displays are permitted in some areas but for health and safety reasons these must be approved prior to your event.

Other Restrictions

  • The Management of Lea Hall reserves the right to control sound levels at your event in line with the conditions of the premises licence.
  • NO SMOKE or DRY ICE machines – fire alarm may trigger and full evacuation of the building will be necessary.
  • Candles are restricted to those lit and then immediately blown out on a celebration cake (under supervision).
  • NO confetti cannons, cannon substitutes or glitter bombs without prior consent.
  • NO flammable liquids or other dangerous substances, gun powder or fireworks.

Bouncy Castles

  • The use of bouncy castles is strictly by prior consent during the booking process.
  • Bouncy castles will only be allowed in designated areas of the premises.
  • The hirer must ensure that the bouncy castle provider has taken reasonable steps to ensure the equipment is safe.
  • Safe use of bouncy castles is the responsibility of the hirer who must ensure that the activity is supervised at all times when in use.
  • The hirer must exercise caution and be aware of potential hazards.
  • A written disclaimer to be in clear view at all times “Bouncy castle use at own risk” Users of a bouncy castle are responsible for their own safety while using the equipment.

Lea Hall In House Catering by S&K Catering – Special menus/allergens catered for.

  • Fully attended by S&K Catering staff – tables cleared and rubbish removed.
  • Hot and cold food available prepared fresh on the premises.
  • Fully insured for compliance with food hygiene regulations and other legal requirements.

Self Catering/Outside Caterers

  • Restricted to cold food only which must be prepared off the premises. (i.e. No burners for hot food warming).
  • Hirer has full responsibility for compliance with Food Hygiene Regulations 2006, Health and Safety risks and any other legal requirements.
  • Catering trays and all rubbish must be removed immediately after your event.

Your Responsibilities as the Hirer

  • Ensure that children (persons under 18) are kept under adult supervision at all times and do not leave the room you have hired unaccompanied.
  • Ensure guests leave the premises promptly and quietly, showing respect for the local residents.
  • Ensure that guests do not access restricted areas.
  • Ensure all exits are kept clear of any obstructions at all times, including chairs and tables.
  • Be aware of the Fire Evacuation Procedure for the room hired, specifically the location of the nearest emergency call point and emergency exits.
  • Take note of the location of fire action notices and emergency lighting and be responsible for helping to ensure guests vacate the premises in a prompt, safe and orderly manner should the emergency alarm be raised.
  • Ensure that guests only consume alcohol purchased on the premises and that it is not served to, or purchased for, any person under 18 years old.  
  • Instruct persons 18 years and above to bring proof of identity which may be requested under the Challenge 25 scheme.
  • Ensure that there is no smoking in the building including the use of E-Cigarettes.  (Smoking is restricted to designated smoking areas.  Garner access is via the main stairs.  The fire exits must not be used to gain access to smoking areas).
  • Ensure that guests do not indulge in taking drugs or any other illegal substances.
  • Ensure that DJs, bands or any other performers have their own liability insurance and PAT tested equipment.

Deliveries, Storage, Removal

  • Deliveries must be advised in advance.
  • There are no storage facilities other than the room you have booked.
  • The Management of Lea Hall accepts no responsibility for damage or loss of goods left on the premises prior to, during, or following your event.
  • All goods must be removed at the end of your event unless you have made a prior arrangement as any goods left without permission will be deemed for disposal by Lea Hall staff.
  • Gas canisters used for inflating balloons must be disposed of by the hirer. 

Passenger Lift – Accessing the First Floor

  • Use the lift only to aid access to and from The Garner Suite or Meeting Room.
  • Under no circumstances is the lift to be used to evacuate people from the building.
  • A wheelchair is available to aid evacuation of the Garner Suite. Stored in the room to the left of the stage – access code 9999.
  • Children using the lift must be accompanied by an adult.
  • If abused, the passenger lift may be taken out of action for the duration of your event.

N.B.

Consideration must be given to compliance with Health and Safety matters and where necessary undertake your own risk assessment relating to the arrangements for your event.

To the fullest extent permitted by law, the Management of Lea Hall shall not be liable for any claim, demand, loss, damage or injury to any person or property caused by, or arising out of, the use of its premises. Unacceptable behaviour of guests may result in closure of the bar and/or event and, in serious circumstances, the police being called.
